At the start of the service we may offer half portions to reduce the initial queue, then allow people to come back for seconds. We may also cook the toppings on rotation if the queues continue and then go back to individually ordering when quieter.
We are not responsible for managing your queues, we will serve people as quickly as they have placed their order with us at the serving hatch. Continued delays by indecisive or drunk guests may result in your service window finishing before all guests have eaten. We advise you to share your chosen menu with your guests prior to your event as well as, when appropriate, place a designated person in charge of managing queues. This will reduce queuing time and allow for a faster stress free service. We also advise using our meal tickets which will also help. Simply print and cut these out, giving one to each of your guests to complete prior, they then simply hand the ticket to us when ordering allowing for a more personalised and speedy service. All toppings and food or drink items are subject to availability, we hold the right to change an item to a item of equal or greater value if your chosen item is unavailable at time of event.
We portion everything by our biodegradable 10” paper plates, unless we state or agree so in writing. For example - ‘full pizzas’ are classed and served as a 10” paper plate full of pizza. ‘Half a pizza and side’ are classed and served as half a 10” paper plate of pizza and the other half of side/s.
We take no responsibility for any damages done to grounds including grass areas on any access routes leading up to or at your chosen location. This includes oil spills or tyre marks or snapped tree branches.
If you have stated you are supplying electricity, and for any reason your electric supply does not work or continues to cut off resulting in a prolonged service, additional charges of £50 per hour may apply if we are able to stay later for your service.
You are responsible for waste management , if you would like us to dispose of the waste there will be a small fee added onto your booking. Please select the desired option on the booking form.
The final booking form is designed to consolidate any changes/additions to your booking that you may have made since your original booking. Please note that any information left off the final booking form will be assumed as no longer required, full payment will however still be required if we have reserved you a product or service. Your final booking form is due 3 weeks prior to your event , when our operations manager starts to prep and plan. If your final booking form is not submitted at the 3 week point , a charge of £20 will be added to your remaining balance.
The customer acknowledges that it shall be responsible and liable for any damage or loss to the provider's equipment caused by any misuse of the provider's equipment by the customer or its guests.
Your deposit is fully refundable if you cancel 18 months or more prior to your event date. We understand that things happen which are sometimes out of our control, therefore, If you do have to cancel within 18 months or less of your event date we will allow you to change the date for another date of your choosing within 6 months of your cancellation date. Events cancelled within 2 weeks of the event date will not be able to move their date.
Vines will not tolerate any abuse or threatening behaviour to any of our team or abuse of any Vines equipment. Vines retain the right to terminate this agreement immediately in cases where our team feel they are being abused or threatened or any equipment is being, or in danger of being, damaged due to the actions of any persons attending the customer’s event
Vines agree to be operational for a minimum of 90% during your event; operations may need to be interrupted for restocking of supplies.
The customer will arrange for an appropriate sized space for the pre booked product or services.
The Customer is responsible to ensure in advance that the venue allows reasonable access for loading and suitable parking once the equipment has been unloaded.
The customer is responsible for ensuring Vines has access to the event venue and to appropriate facilities, including, without limit, by arranging, in good time and at the customer’s own expense, all permits, licenses and permissions necessary to enable Vines staff to gain access to the venue and perform the services. If access onto your property/venue or outside of your property/venue is blocked by any of your guests, staff or suppliers, resulting in a delayed start time or finish time, you may be charged an additional £50 per hour.
When booking any of our services that requires WIFI. The customer is responsible to insure the Venue has a secure and continuous WIFI connection. This must be available upon arrival to allow time to set up any of the devices as well as continuously throughout the service period. This includes our Photo Booths and our PA system/ DJ set up.
We take complaints/feedback extremely seriously and always welcome any constructive feedback. Anything you wish to raise or share needs to be put in writing and sent to Joe@vinescommunities.co.uk within 24 hours of your event.
